Quality Management System
Quality management has been a tool for implementing multiple requirements of products and services in a systematic manner for quite some time in the industry. Public service facilities also increasingly recognise the advantages of systematic structuring with regard to their work-processes. However, the introduction of a quality management system (QMS) often poses a hard to calculate expenditure and time for small and medium sized businesses.
The lack of personnel coupled with prejudice and fear of QMS („ too much red tape“) is a frequent barriers for serious consideration of this subject. Often times it is implemented only after customers request a certificate. Unfortunately, only then a procedure is implemented hastily in an effort to obtain the desired certificate. In this case, QMS is only a document which does not achieve what it should: Improving the company from within. The goal is to find a common denominator to increase the company’s efficiency and ensure fulfilment of increasing requirements in the future. QMS is not a new parallel system, but rather an improvement of the already existing system. Herein the objective is to consistently improve the current quality of products and services as well as employee satisfaction. Basis thereof are the current work flow. QMS will support management and employees in simplifying, standardising, controlling and improving these processes.
All of the project phases are documented using software support. Our QM-consultants use the integrated process management tool sycat to implement the aforementioned. Your company processes are administered in a related database and can be used for additional purposes, such as selecting new DV-system in the future

Our strategy fields for successful management in coordination
During phase 1 the company processes will be identified and structured in the process model. The project goals will be prepared, quality politics will be defined in collaboration with company management and the project will be introduced to the employees during a kick-off event to ensure a decrease of prejudice by demonstrating transparency.
During phase 2 all quality-relevant processes are interdepartmentally designed in IS-condition. The sycat Process Designer pro enables a clear overview and graphic display of the processes. During the following weakness analysis – for instance, with sycat Process Analyser – requirements of the company, the customer, the employees as well as the chosen quality standard (i.e. DIN EN ISO 9001) will be defined. After establishing the activities for individual weak points, the results of the process analysis are consolidated for designing the target state process, which is designed with a focus on its usefulness to customers and employees. In addition to the graphic demonstration of the process, the supporting documentation and details for individual process steps are documented in a supporting database and templates such as check-lists, production- or inspection guidelines and similar are assigned.

Our 4-phase approach model
After preparing your specific quality management documentation with sycat Document Manager in Phase 3, employee training will be implemented along with the auditing process in phase 4. Your employees will be trained based on the QM-documentation before the target state processes are implemented. In closing, the system will be assessed with a pre-audit conducted by us and prepared for external certification. Regular, process oriented internal audits with of sycat® Audit will determine whether your system is implemented correctly and improved consistently. This systematically eliminates errors and your QMS does not exist in theory only.
After its wide-spread introduction in the industrial sector, quality management has also become an integral part of the service provider sector. Our Approach

Our approach for implementing the four strategic fields is divided into four phases:
1. Project Initialisation
Includes developing a process design and preparing a process plan and the corresponding project goals. We will define the quality policy- and goals in collaboration with you and begin your project with a kick-off event.
2. Process Optimisation
We will conduct an IS-Analysis of the quality relevant processes and prepare a weakness assessment including the corresponding improvement options. The management requirements, i.e. in accordance with DIN EN ISO 9001 or EFQM will be integrated. We will develop target-processes and define the key performance indicators. In closing we will design and document the analysed processes.
3. QM-Documentation
Establishment of a management handbook with the process- and procedure step description. This phase also includes the establishment of a document control- and maintenance system as well as preparation of additional QM documents.
4. Training and Auditing
We will train and introduce all employees to quality management. The prepared target processes will be integrated and a computer supported pre-audit procedure will be conducted. Thereafter we will prepare a measurement plan and conduct a measurement evaluation to prepare you for an external certification.
